Good communication keeps a business running smoothly. Too little or too much both cause problems.

Why communication matters

Effective communication helps staff know what to do, so the business is efficient.
It makes staff feel valued, so they are motivated.
Insufficient communication: mistakes, confusion, staff feel left out.
Excessive communication: information overload, time wasted, important messages missed.

Methods

Barriers

Jargon: technical words the receiver does not understand.
Language and culture differences.
Too many levels in the hierarchy, so messages get distorted.
Poor attitude or lack of trust between sender and receiver.
Wrong method chosen, or technical failure.
Remove barriers by using clear language, the right method and checking for feedback.
Worked example

Head office emails 30 messages a day to each store manager. What problem might this cause?

  1. This is excessive communication.
  2. Managers may miss the important messages.

Answer: Information overload, so key messages are missed.

Good communication improves efficiency and motivation. Too little causes mistakes; too much causes overload. Barriers include jargon, language, many levels, attitudes and wrong methods. Choose the right method and check understanding.
